Import e-mails from Outlook to OneNote

With a new update to Onetastic Batch File Import you can import emails from Outlook to OneNote easily. Just drag and drop multiple emails, meeting invites or other items from Outlook Desktop app to Batch File Import. You can either import them as attachments or import the full content of the email including its subject, recipients, and email body. Any attachments are also inserted as attached files.

This can be a great way to preserve emails related to a topic or project in OneNote. And the bulk import capability makes this a breeze. This functionality currently requires classic Outlook app installed on your PC. Watch the following short video to see this in action.

This update also comes with many bug fixes and smaller improvements including:

Certain Onetastic dialogs are made resizable and their location on screen is remembered to improve the experience
Macro editor now correctly imports macros from external editor regardless of whether tabs or spaces are used for indentation
You can now control whether Edit Macros and New Macro buttons are visible in the ribbon or not from options to better optimize screen space usage
Macro information pane in Download Macros window can now be scrolled to allow viewing information about macros when they don't fit the screen
Manage Macros window now remembers the grouping and sorting state from last time
Custom Styles can now be edited without the requirement of a Pro license
Fixed an issue where Favorites menu would not display correctly when pages with certain characters in their titles are added

Hi Omer, I am using OneNote tool in Outlook 365 now for quite som years and its works ok. This OneNote tool copies the email like you do, but formats the email-header information into a 2-column table (1st row the outlook-header item title and 2nd row the actual text, which I extend with an extra row at the bottom with "Outlook" in the 1st cell and the email attachment in the 2nd cell. I color the table background with an arbitrary color red so when I scroll through the page I can easily see the beginning of an email. Could that come on your list or not?

New Outlook Contacts is awful, but so are some other features that are simply missing, like search folders.

When will Microsoft allow to create shortcuts to emails? I know this is not what you intended with this feature but this would be a great feature. Maybe you can find a way to implement this via an Outlook plugin.

This sounds interesting, and I will be checking it out in the immediate future! I'm hoping that it's customizable enough that I can do things like include the date of the email in the title of the imported message, or have it otherwise sortable by the date of the email. That's an important feature that Microsoft left out of the "Send to OneNote" feature in Outlook. Thanks for keeping Onetastic alive, it's a MAJOR go-capability for me in OneNote! //Steve//

I wanted to share some important feedback about the new Batch File Import update.

The ability to import emails into OneNote is great — but what’s even more incredible (and not mentioned in the blog post or the video) is that the importer can also handle Outlook Contacts, including the Notes field inside the contact.

For me, this was absolutely huge.

I’ve kept more than 20 years of detailed Notes inside Outlook Contacts, and being able to import all of that history directly into OneNote — in readable, searchable form — is a game‑changing capability. Now Copilot 365 can search that entire personal CRM‑style history. This single feature finally frees me from being tied to the classic Outlook client and makes it possible to use the new Modern Outlook without losing access to decades of information.

Honestly, this feature is worth 10× more than importing emails. It enables a smooth migration path from Classic Outlook → OneNote → Modern Outlook → Copilot 365. I don’t think most people realize how important this is, and since it isn’t mentioned in the announcement, many users may not even discover it.

If you decide to highlight this in the documentation or future posts, I think many long‑time Outlook users would benefit tremendously. This is a very meaningful capability — thank you for building it.
